Real-Time Candidate Status Sync Between Google Sheets and Recruitee ATS

The recruitment agency used:

Recruitee ATS for internal hiring pipeline management

20+ Google Sheets shared with different clients. Clients would update candidate statuses directly inside their respective Google Sheets.

The problem:

The agency had to manually check each sheet. Any status change had to be manually updated inside Recruitee

• Updates were delayed
• High risk of human error
• Completely non–real-time workflow

This created:

• Repetitive admin work
• Pipeline inconsistencies
• Operational inefficiency
• Time wasted on monitoring instead of recruiting

They needed real-time synchronization between client sheets and their ATS.

We built a centralized automation system using Zapier, Google Apps Script, and a Master Tracker.

1. Master Tracker System

We created a central Google Sheet acting as a control panel. Whenever a new client sheet link was added:

• The system automatically activated tracking
• No need to manually configure every sheet

This made scaling simple.

2. Google Apps Script Trigger

Each client sheet had a lightweight Apps Script function installed.

Whenever a candidate’s status was changed:

The script detected the change instantly

It sent the updated status to a Zapier webhook

This eliminated the need to “check sheets manually.”

3. Zapier Automation

The Zapier workflow:

• Received the webhook event
• Identified the candidate
• Updated the corresponding job pipeline stage inside Recruitee ATS

All updates happened automatically.

4. Fully Automated Sync

Final flow:

Client updates status → Apps Script detects change → Webhook sent to Zapier → Zapier updates Recruitee → Pipeline stays accurate in real-time.

No manual intervention required.

After implementation:

• Manual sheet monitoring reduced to zero
• Real-time candidate status updates
• Improved internal pipeline accuracy
• Reduced administrative workload
• Faster recruiter response time

Recruiters no longer spent hours checking spreadsheets. Their ATS always reflected the latest candidate status automatically.
