
How I Automated My Entire Sales Pipeline
In this blog I share how I created web of individual workflows and how they connect together because the real benefit comes from automating the entire system.
In most agencies the pipeline looks like this:
Lead → Call → Proposal → Payment → Delivery
Between each step there are manual processes that slow everything down. That;s where this set of workflows come that automate the entire pipeline.
1. Lead Capture

When someone responds to outreach or accepts a connection request:
The system automatically:
- Captures the lead data
- Adds it to the CRM
- Scores the lead priority
This eliminates manual CRM entry and ensures no lead is lost.
2. Pre-Call Preparation

Preparing for calls manually usually means rushed research.
My system checks the calendar regularly and detects upcoming meetings.
Before a call starts, it generates a briefing including:
- Prospect overview
- Likely operational problems
- Automation opportunities
- Discovery questions
This makes every call more structured.
3. Proposal Follow-Ups

After a proposal is sent, most deals go silent because follow-ups are forgotten.
My automation monitors all deals where Proposal Sent is the current stage.
It automatically schedules follow-ups on:
- Day 3
- Day 7
- Day 14
Draft messages are generated automatically.
I simply choose where to send them.
4. Automated Invoicing

Once a client agrees to move forward, the invoicing workflow triggers.
The system:
- Creates a PayPal invoice
- Sends the invoice
- Logs invoice details in the CRM
This eliminates manual billing steps.
5. Client Onboarding

After payment confirmation:
The onboarding workflow starts automatically.
It:
- Creates a client workspace
- Sends a welcome email
- Generates an onboarding checklist
Projects start immediately without delays.
6. Weekly Business Review

Every Monday morning the system runs a weekly review.
It collects data from:
- CRM pipeline
- Daily work logs
- Email campaigns
- Website analytics
AI then analyzes the data and produces:
- A performance rating
- A short summary
- Three actions for the next week
